1. Who We Are

Day One Commercial Partners (“Day One,” “we,” “us,” or “our”) is a full-service commercial real estate firm serving clients across the Full 4-Pillar journey: Targeted Acquisition, Strategic Terms, Custom Buildout, and Launch to Success, as well as À La Carte engagements.

Licensed real estate trading services, including site acquisition and lease or purchase negotiation, are provided through Keller Williams Complete Realty, Brokerage, as required under Ontario real estate law. Our buildout, launch, and advisory services fall outside brokerage activity and are delivered directly by Day One.

This policy explains how we collect, use, disclose, and protect personal information across all of these services, in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), applicable Ontario privacy law, and, for the licensed portion of our work, the standards of the Real Estate Council of Ontario (RECO) under the Trust in Real Estate Services Act (TRESA).

For real estate trading services, our team is bound by RECO’s Code of Ethics, including duties of confidentiality regarding client information, proper record-keeping and retention, and honest, transparent dealing with clients and customers. Nothing in this policy limits or overrides our obligations as registrants under RECO.

2. Information We Collect

Information you provide directly

  • Name, email address, phone number, and business name submitted through our website intake form.
  • Details about your site search, business type, franchise or rollout plans, and project scope.
  • Information shared during consultations, lease reviews, or buildout advisory engagements.

Information collected automatically

  • IP address, browser type, device information, and pages visited through standard website analytics.
  • Cookies used to support site functionality, as described in Section 6.

We do not knowingly collect information from anyone under the age of 18.

3. How We Use Your Information

We use the information you provide to:

  • Respond to inquiries and qualify new leads into our client pipeline.
  • Deliver services under the Four Pillars: site selection research, lease negotiation, buildout coordination, and launch support.
  • Match your project to relevant off-market opportunities.
  • Communicate updates on active deals, market conditions, and firm services.
  • Improve our website and internal operations.
  • Meet legal and regulatory obligations, including RECO compliance for the licensed real estate trading portion of engagements.

4. How We Share Your Information

We do not sell your personal information. We may share it with:

  • Our team: Managing Partner, relationship and closing leads, and supporting staff working on your file under the “one team, one file, one point of contact” model.
  • Vetted outside experts: Lenders, lawyers, architects, contractors, or other professionals in our coordinated network, only where relevant to advancing your acquisition, terms, buildout, or launch, and typically with your knowledge as part of the engagement.
  • Landlords, listing agents, or counterparties: As necessary to pursue a site, negotiate terms, or complete a transaction on your behalf.
  • Keller Williams Complete Realty, Brokerage: For the licensed real estate trading portion of your engagement, as required under our brokerage relationship and applicable real estate regulation.
  • Service providers: Third-party platforms we use internally to manage client files and communications, bound by their own security and confidentiality standards.
  • Legal or regulatory authorities: Including the Real Estate Council of Ontario (RECO), where required by law or under our obligations as registrants.

5. Data Storage and Security

Client and lead information is stored in our internal systems, with access limited to team members working on your file. We do not publicly disclose the specific platforms, vendors, or technical architecture used to manage client data.

Our systems apply industry-standard encryption: data is encrypted in transit using TLS (Transport Layer Security) and encrypted at rest using AES-256 encryption. Access to client files is role-restricted to the team members assigned to your engagement, consistent with our “one team, one file” accountability model.

We take reasonable administrative and technical measures to protect personal information against unauthorized access, loss, or disclosure. No system is completely secure, and we cannot guarantee absolute security of information transmitted online.

6. Cookies

Our website may use cookies to support basic functionality and understand how visitors use the site. You can disable cookies through your browser settings; doing so may affect site functionality.

7. Your Rights

Under PIPEDA, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent to certain uses of your information, subject to legal or contractual restrictions.
  • Ask questions about how your information is being used.

8. Retention

We retain personal information for as long as needed to deliver services, maintain client records consistent with regulatory requirements, and meet legal obligations. For the licensed real estate trading portion of an engagement, we retain trade and client records for the minimum period required under RECO’s record-keeping rules. Inactive leads and closed files are retained in accordance with our internal record-keeping practices and applicable regulations.
